Terms & Conditions of booking

Booking fees
All bookings are subject to confirmation of receipt of a non-refundable booking fee to secure your date. We’re sorry that we have to make this payment upfront, but unfortunately, this is necessary to ensure that we don’t reserve slots for people who don’t turn up(!)

What’s included
All shoot fees include our time and talent to create and process your images, but unless otherwise stated not include any products. All package details and product prices are freely available for viewing on our websites, and any products included in your package will be clearly marked at the time of purchase.

Delivery
All prices exclude delivery unless otherwise stated.

Minors
Any persons under the age of 18 years must be accompanied by a responsible adult at all times.

Editing and lead times
All image sizes are nominal and images will be colour corrected using fully calibrated equipment. Retouching, digital manipulation and artistic finishing are done at the Photographer’s discretion. Finished proofs will be available for viewing and ordering within 4 weeks after your photoshoot.

Copyright
Any images or copies of images whether stored digitally or otherwise are protected by the Copyright and Design Act 1988. It is contrary to the Act to copy or allow to be copied photographically / electronically or by any other means, an image created as part of this agreement without the permission of the Photographer in writing. All original files and copyrights shall remain the property of Photographer. Any portion of the work delivered to the Client is for the Client’s personal use only and the Client may not sell or reproduce, or post online, nor authorise the sale or reproduction of any portion of the work without the Photographer’s written consent. If digital image files are purchased, these files will come with written personal printing rights so you can print your images either at home or at your favourite lab.

All high res digital images purchased will not include logos, but if smaller web-sized images are also supplied (for example as complimentary files for social media) these may include our company logo, which must remain intact whenever used. The Client may not alter or manipulate any images supplied in any way without the written consent of the photographer, including the removal of any logos if included.

File storage
Because we are unable to store images indefinitely, images not purchased within 3 months after your photoshoot will be considered unwanted and may be deleted from our systems without further notice. Deleted images will no longer be available for purchase. Once your order has been fulfilled, we will no longer be liable for any future storage of your images: please print and backup your images safely!

Prices
All products and prices are subject to change without notice, but all pricing will be clearly marked at the time of ordering.

Image selection & purchasing

Any images or products you choose to buy from us must be ordered during your free viewing and ordering appointment, which will take place at our studio no later than one month after your portrait session. Since this is your opportunity to choose and order any products you’d like to buy from us, we strongly recommend all decision-makers attend. Additional appointments are charged at £50/hr if required.

Client photography
The Client acknowledges that the taking of photography and/or video by Clients during photo sessions is strictly prohibited, and may lead to the photo session being immediately terminated without refund.

Image display
In order to operate, we must be able to display examples of our work to new prospective customers. The Client permits and the Photographer reserves the right to display any images created, in their studio, portfolios, website, and marketing, in a tasteful manner consistent with the images previously displayed on our websites. Clients with particular personal privacy issues such as those in the public eye should discuss any non-disclosure requirements directly with the Photographer prior to booking.

Payments & Cancellations
All products must be paid in full at the time of order, and due to the custom nature of our work, all orders are final and cannot be changed or cancelled after purchase. The Client may cancel a booking at any time by giving written notice to the Photographer, but in doing so shall forfeit any monies already paid. If the Photographer is forced to cancel the agreement, any fees and deposits will be reimbursed in full to the client.

Covid 19

All bookings are subject to acceptance of the Covid 19 policy outlined on this page of our website which has been created to ensure both your safety and ours.

Complaints
In the unlikely event of any complaint, this should be raised by the Client with the Photographer in writing, within 28 days of receipt of the images.

Who is collecting the data?
This data is being collected by Robert Hooper Photography Ltd. We use a password protected data management software system to hold our data.

How is it being collected?
The vast majority of our data is collected directly from you, either by filling out an online form or telling us face to face, via the telephone, email or message. In some cases, data may be given to us by a third party. This includes if somebody purchases a voucher or photoshoot for you, whereby they will usually give us your name and details to allow us to process their order, and provide our service to you. This also includes details sent to us by partners such as Emma’s Diary, who pass details on to us that were given by you, with your consent to forward to relevant trusted suppliers.

Why is it being collected?
Most of the data we collect is solely for the purpose of providing you with a service you have ordered or had ordered for you. Some of the data we collect is to help provide you with a better customer service experience. We are required by law to collect and store certain information relating to any order you place with us.

  • Delivery and Postage service providers to allow us to send you documentation and orders you have placed (information shared includes name, address and in some cases email address / mobile number).
  • Manufacturers (our printing labs) if we are sending an order directly to you from a lab (information shared includes name, address and in some case email address / mobile number).
  • Law enforcement and legal requirements: we will provide data to law enforcement agencies if issued with a court order to do so.

How will this affect you?
We collect, store and process your data in such a way that should have no negative effect on you as an individual.

How long is the data stored?
Most data we collect is stored indefinitely. This is to allow us to provide a better service to you as a customer in the event that you contact us again in the future. We are also legally obliged to store some data for a minimum amount of time, for example, sale order records and payment records etc.
